Start Date: July 1, 2024 | Reports to: Executive Director | Position Status: part-time

Position Summary:

We invite applicants to join a highly engaged, dynamic, and successful team of four professionals who serve a 90 member association of independent schools. The Connecticut Association of Independent Schools (CAIS) staff work in a remote office landscape within Connecticut; however, we collaborate as a team and the Bookkeeper will interact with our team and member schools throughout the workday. This is a part-time position of 10-15 hours per week.

The Bookkeeper supports the work of the CAIS team and provides business and operational support for the association. The Bookkeeper works within the CAIS team to provide services directly to members and coordinate with other CAIS team members to ensure strong customer service in all of the CAIS membership functions.

As the CAIS team works in a remote office landscape, the ability to work independently and collaboratively is essential. In addition, the Bookkeeper must have up-to-date technical skills, including accounts payable and receivable software, a high degree of fluency in the Google Suite, and virtual communication tools. Strong interpersonal skills across media platforms is important as customer service is essential for the role.

Responsibilities:

Performing all accounting duties necessary to maintain the financial integrity of CAIS using Quickbooks, including but not limited to:

  • Monthly reconciliations of all business bank accounts, credit card statements, merchant statements, business loan accounts
  • Monthly payroll processing
  • On-time filing of all quarterly and annual tax forms such as 1099s, W-2s, W-9s
  • Handling all accounts payables & receivables
  • Completing monthly, quarterly & annual reports including P&L Statement, Balance Sheet, Budget Tracking
  • Assisting in preparation of annual budget
  • Communicating with auditor and participate in annual audit
  • Communicating with Board Treasurer and provide reports as necessary
  • Compiling annual enrollment forms from schools and prepare annual dues invoicing

Government reporting, including:

  • State of CT annual report
  • Submitting State and Federal 1099’s
  • Quarterly and annual payroll reporting including 941s
  • Collecting ED-159s for annual dues invoices
  • Other reporting as required

Support for the Board of Trustees and Board Treasurer, including:

  • Producing regular financial reports necessary for the board and the board finance committee
    Collaborating with the Executive Director and the Treasurer to develop annual budgets
    Leading the annual auditing process

Communications:

  • Communicating with CAIS member schools as necessary

The CAIS Bookkeeper:

  • Works well independently and collaboratively
  • Effectively represents the organization in interactions with member schools, trustees, and corporate partners
  • Handles confidential information and maintains strict confidentiality

Required Qualifications:

  • A degree in a related field and a minimum of 3 years relevant experience required
  • Ability to communicate effectively with all stakeholders
  • Strong technology skills including the Google Suite, and financial software such as Quickbooks
  • Experience with digital communication platforms such as Zoom and websites

Physical Requirements and Work Environment:

  • Occasionally lift up to 30 pounds
  • Works effectively in a remote-office environment
  • Works in a fast-paced and professional environment dealing with a wide variety of challenges, deadlines and a varied and diverse array of contacts
  • May work at a desk and computer for extended periods of time
  • Although a remote position, must be able to attend in-person meetings and events in Connecticut
